Plan and seats

Read what a seat is, what happens when none is free, why a limit never removes anyone, and who sees the billing.

Your company workspace has a plan, and the plan counts seats. This page is for the people who administer Ryno: it says what a seat is, what uses one, what happens when none is left, and who sees what.

What a seat is

A seat is something your company buys. It is not a person. The number of seats you have bought is the number of seats you are billed for and, on a paid plan, the number of people who can be part of the workspace.

Each person who belongs to the workspace uses one seat. A seat that nobody uses is a free seat: you paid for it, and the next person to arrive takes it. The plan page shows four numbers: the seats bought, the seats in use, the seats free, and the seats that will be removed at the next renewal.

When no seat is left

When someone arrives and every seat is in use, Ryno does not buy anything on its own. It records a seat request and tells the person what to do:

All seats are in use. Your request has been sent to the administrators of your organisation, who can buy a seat on the web.

Administrators read the waiting requests on the plan page, which is /plan in the web application. Ryno sends no e-mail about it: the request is read on the web and in the desktop application.

A limit never removes anyone

Reaching the limit stops new arrivals, nothing else. Nobody who is already a member is ever removed because of it, and a seat in use cannot be removed.

When someone leaves

Removing a person does not remove their seat. It stays bought and becomes free, so the next person can use it. A seat only goes away when an administrator decides it, and then at the next renewal: until that day it stays free and usable. If you restore someone’s access, they need a free seat to come back.

Remove access explains how an administrator cuts someone’s access.

When a plan ends

When a subscription ends, the workspace becomes read-only. Nothing is deleted. An administrator can restore it on the web. After 90 days in that state the workspace is archived, and it is still not deleted.

Who sees what

Every member sees the plan, the seats and the commitment, on the plan page and in the desktop application. The billing, with the seat requests waiting, belongs to administrators. Its gestures happen in the web application only: the desktop application shows the plan and links to the web.

Roles and governance lists what each role can do.
