Billing and invoices

Subscribe, see what adding or removing a seat costs, find your invoices, and read what happens when a payment fails or you stop.

Your company pays for Ryno with a subscription, and an administrator manages it on the web. This page is for the people who administer Ryno: it says how to subscribe, what a seat costs to add and to remove, where to find your invoices, and what happens when a payment fails or when you stop.

Only administrators act on billing. Every member can read the plan. The desktop application shows the plan and links to the web: it buys and removes nothing.

Subscribe and manage your payment

From the plan page, which is /plan in the web application, an administrator subscribes without leaving Ryno, in three steps: the plan, Team or Business, with a commitment, monthly or yearly, and a number of seats; the billing details of your company; then the payment, by card or by SEPA Direct Debit. Everyone in the workspace gets the same plan. The plan page shows the commitment and the date the subscription renews, to every member.

What Ryno never sees

Your card number, its security code and your IBAN never reach Ryno. You type them in fields that belong to the payment provider, inside the Ryno page, and your browser sends them straight to the provider. Ryno does not store them, and they never appear in its logs.

Ryno only learns which payment method you used, its brand and its last four digits, so that it can show them to you, and whether the payment went through.

Paying by card

A card payment is confirmed right away. When your bank asks you to confirm it, you confirm it in the window that opens, and the payment goes on. If that window closes before you confirm, nothing is charged, and you can try again. If your bank declines the card, nothing is charged: you can try another card, or pay by SEPA Direct Debit, on the same page.

Paying from a bank account

You can pay by SEPA Direct Debit from a euro-area bank account. The page shows the SEPA Direct Debit mandate, and you accept it when you subscribe. Your bank confirms the debit within a few business days, and your plan does not wait for it:

Your SEPA Direct Debit is on its way: your bank confirms it within a few business days, under the mandate you accepted. Your plan is ready now. If the debit fails, nothing is cut off: you have 14 days to pay from Plan and seats.

If your bank refuses the debit before it starts, nothing is debited, and you can check the IBAN or pay by card instead.

Billing details

Your invoices carry the details you give: your company legal name, its country or region, its address, postal code and city, and the email address that receives invoices and payment receipts. They are all required. The second address line and the VAT number are optional.

When you give a VAT number, Ryno checks it with the EU VIES register before you pay. A number the register does not know stops you at this step: correct it, or leave the field empty. When the register does not answer, you can continue: the number is checked again when you pay, and until the register confirms it you pay French VAT.

VAT before you pay

The summary next to each step shows the amounts excluding tax until you choose your country. Then it shows the VAT and the total due today, before you pay:

  • a company in France pays French VAT;
  • a company elsewhere in the EU, with a VAT number the register confirms, pays no VAT: it accounts for VAT itself, under the reverse charge;
  • a company elsewhere in the EU without a confirmed VAT number pays French VAT;
  • a company outside the EU pays no VAT.

Under the reverse charge, the summary and your invoices say so:

Reverse charge: your company accounts for VAT in Germany. Your invoices say so.

Before you pay, Ryno says how you are billed:

You choose a commitment, monthly or yearly, and a number of seats. Each seat is billed whether it is in use or free. A seat added later is billed pro rata for the days left until the next billing date, after you read the cost and confirm it. Removing a person leaves their seat bought and billed. A seat you remove disappears at the next billing, with no refund. Amounts exclude tax.

To change how you pay, or to read what was billed, open Manage billing on the plan page: it opens the payment portal of the payment provider.

A seat is a purchase

A seat is something your company buys, and it is not a person. Each seat is billed at every billing date, whether someone uses it or it is free, and a person who belongs to the workspace uses one seat.

Plan and seats explains what uses a seat and what happens when none is free.

What adding seats costs

An administrator buys seats on the web, never by accident. Ryno first shows what the purchase costs: the days left until the next billing date, the amount due today, and what each billing period costs before and after. Nothing is bought until the administrator reads the cost and confirms it.

A seat you add is billed pro rata for the days left until the next billing date, and it is never free. After that it is billed like every other seat. The cost shows the amount excluding tax, the VAT, and the total charged today, as the checkout summary does. The amounts of later billing periods exclude tax.

Up to 50 seats on your own

You can buy up to 50 seats in total on your own, counting the seats your company already has: a company with 45 seats can add 5, not 6. The same limit applies when you subscribe and when you move to another plan. Beyond it, Ryno does not take the purchase, and you write to the sales team instead:

More than 50 seats? Contact sales at bonjour@isee-u.fr.

A company that already has more than 50 seats keeps them, and its subscription renews as before. Only adding seats goes through the sales team, and you can still remove a free seat.

What removing a person costs

Removing a person changes nothing on your bill. Their seat stays bought, available and billed, and nothing is refunded:

Their seat stays bought and available, and it keeps being billed. An administrator can remove the seat separately on the web.

Remove a seat

Removing a seat is a separate gesture from removing a person. The seat disappears at the next billing. With a yearly commitment, that is the renewal: a yearly commitment is never reduced in the middle of the year.

A seat in use cannot be removed, and you cannot go below the number of people in the workspace. Until the billing date the seat stays bought, billed and usable, and you can cancel the removal before then. If someone arrives and takes the seat, the removal is cancelled. Removing a seat refunds nothing.

When someone arrives and no seat is free

When a person arrives through your company domain and every seat is in use, they stay signed in without access to the catalog, and their request is recorded once. Ryno buys nothing on its own: the person waits until an administrator buys a seat.

Invoices

The plan page lists your invoices. Each one has a sequential number, your company name and address, your VAT number when you have given one, and a PDF you can download.

Where the gestures are recorded

Billing gestures appear in the activity log of the web application, like the other gestures of administrators: a subscription that starts or stops, a portal opened, seats added, a removal scheduled, cancelled, or done.

Roles and governance says where to read it.

When a payment fails

When a payment fails, nothing is cut off. For 14 days, everything stays open and members keep working while an administrator settles the payment on the web.

Your last payment failed. No access is cut off. An administrator can settle the payment on the web.

After 14 days without a payment, the workspace becomes read-only.

Read-only, then archived

In read-only, the catalog stays readable. Nobody can publish, attach or remove a project, or welcome someone new. An administrator can still revoke access, change a role and answer a seat request.

This workspace is read-only. Nothing is deleted. An administrator can restore it on the web.

After 90 days in that state the workspace is archived. Nothing is deleted then either:

This workspace is archived. Nothing is deleted. An administrator can restore it on the web.

Stop, or start again

An administrator can stop the subscription from the payment portal. Depending on how it is stopped, the subscription ends at the next billing date or right away, and the workspace then becomes read-only. To start again, an administrator subscribes again on the web: the workspace opens as it was, with everything in it.
